This Privacy Policy explains how Voixdesk, operated by Triaxo Solutions LLC (“we”, “us”, or “our”), collects, uses, and shares information when you use our website and services (the “Service”). We aim to collect only what we need to run a reliable front desk for your business.
1. Information we collect
- Account & business details: your name, email, phone number, business name, address, hours, and the services/prices you configure.
- Payment information: processed by our payment provider, Stripe. We receive confirmation of your plan and status, but we do not store full card numbers.
- Communications data: calls and text messages handled by the Service, including phone numbers, message content, call summaries, and transcripts.
- Contact & lead data you provide: the names, phone numbers, and notes for the leads and clients you add or who contact your numbers.
- Usage & device data: log data, IP address, browser/device type, and how you interact with the dashboard.
- Cookies: essential cookies used to keep you signed in and operate the dashboard.
2. How we use information
- Operate the Service — answer calls, send and receive messages, qualify leads, and book appointments to your calendar.
- Provide support, send service-related notices, and process billing through Stripe.
- Maintain security, prevent abuse, and debug and improve the Service.
- Comply with legal obligations.
3. AI processing
To generate replies and summaries, call and message content may be processed by AI model providers (such as OpenAI) on our behalf. This processing is used to operate the Service and is subject to those providers’ commitments to us.
4. How we share information
We do not sell your personal information. We share it with service providers who help us run the Service, including:
- Stripe — payments, billing, and invoicing.
- Twilio — telephony and SMS/WhatsApp delivery.
- OpenAI — AI generation of replies and summaries.
- Google — calendar booking (only for organizations that connect Google Calendar).
- Hosting and database providers (such as Vercel and Supabase) that store and serve the application.
We may also disclose information to comply with law, enforce our terms, or protect rights and safety.
5. Data processed on behalf of customers
When you use the Service, you may add information about your own clients and leads. For that information, you are the controller and we act as a processor on your behalf, handling it only to provide the Service to you. You are responsible for having a lawful basis and any required consent to provide and process that information.
6. Data retention
We retain information for as long as your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. You can request deletion as described below.
7. Security
We use reasonable technical and organizational measures to protect information, including encryption in transit and row-level access controls that isolate each organization’s data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your rights
Depending on your location, you may have rights to access, correct, export, or delete your personal information, or to object to or restrict certain processing. To exercise these rights, contact us at support@voixdesk.com. End-customers whose data was provided by a business using the Service should contact that business directly.
9. International transfers
We and our providers may process information in the United States and other countries. Where required, we rely on appropriate safeguards for such transfers.
10. Children
The Service is intended for businesses and is not directed to children under 18. We do not knowingly collect information from children.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will update the “Last updated” date and, where appropriate, notify you of material changes.
